General Course Conditions

Registration & Admission
Registration for a course is binding – regardless of whether payment has already been made. It is done via our online booking system. Final admission is granted after receipt and evaluation of the registration and approval by the respective course instructor. You will receive a written confirmation of registration by email no later than 4 weeks before the course begins.

Registration Deadline
As a rule, the registration deadline is four weeks before the start of the course. Later registrations may be accepted upon individual consultation.

Course Repertoire
Unless otherwise stated, the repertoire is freely selectable. Please provide detailed information about the planned works when registering.

Course Schedule
The specified course dates include the arrival and departure days. Generally, courses begin at 3 p.m. on the first day and end after breakfast on the departure day. Detailed information about the schedule, arrival, and participants will be sent to you approximately three weeks before the course starts.

Costs & Services
The course fee and the costs for accommodation and meals (four meals per day) are listed separately.
The course fee includes accident insurance for the duration of the stay. Accommodation is provided at Forum Artium or in a nearby building – usually in double rooms, occasionally in triple rooms. Single rooms are available upon request and at an additional charge of €50/day, subject to availability.
There is no refund for unused services due to late arrival or early departure.
Participants who do not use accommodation or catering services will be charged a 25% surcharge on the course fee to cover facility usage.

Discounts
School pupils, university students, and members of the Forum Artium support association receive discounts. Appropriate proof must be submitted at the time of registration or by the final invoice at the latest.

Withdrawal & Cancellation Fees
Withdrawal must be communicated in writing.
• Up to four weeks before the course starts: the registration fee is forfeited but may be transferred to a later course in the same year.
• From four weeks before the course starts: 50% of the total costs must be paid.
• From one week before the course starts / no cancellation: 100% of the total costs are due.

If a course is canceled by Forum Artium (e.g., due to insufficient registrations or illness of the instructor), any payments already made will be refunded. Further claims are excluded.

Scholarships
Forum Artium awards a limited number of partial scholarships for course fees. Applications must be submitted informally, in writing, and with justification no later than eight weeks before the course begins. Additional funding options may be available through music universities, friends’ associations, or the GVL.

Photo & Media Usage
By registering for the course, you agree that photos taken during courses and concerts may be published for documentation and promotional purposes. If you do not agree to this, please inform us in writing.
